The Receptionist will provide high-quality, customer-focused service to all patients and visitors under the guidance of the Managing Director. This role involves managing patient inquiries, scheduling appointments, and ensuring smooth and efficient operations at the front desk, contributing to the overall positive patient experience and service excellence at TotalPhysio Private Limited.

Key Responsibilities

  • Greet and assist clients, ensuring a welcoming and professional atmosphere at all times.
  • Manage incoming calls, emails, and messages, directing them to the appropriate departments or personnel.
  • Schedule and coordinate patient appointments, ensuring efficient use of clinic resources and minimal wait times.
  • Handle patient registration processes, including the accurate completion and verification of required forms.
  • Process payments, issue receipts, and maintain accurate financial records for all transactions.
  • Provide patients and visitors with information regarding clinic services, procedures, and policies.
  • Maintain confidentiality of all patient and clinic information in accordance with law and clinic policies.
  • Monitor and manage the reception area to ensure it is clean, organized, and stocked with necessary supplies.
  • Perform general administrative tasks such as filing, data entry, and managing correspondence.
  • Assist with the coordination of patient care by liaising with Physiotherapist and/or any other healthcare professionals as needed.
  • Handle incoming and outgoing letters, packages, and deliveries, ensuring timely and accurate distribution.
  • Support emergency protocols and provide assistance during urgent situations as required.
  • Collaborate with all clinic staff to ensure seamless operation and a positive patient experience.
  • Participate in ongoing professional development and training activities.
  • Perform any other task assigned by the Managing Director/ Management.
