Job Description
Procurement Management:
- Maintain accurate records of procurement activities, contracts, and vendor agreements.
- Monitor timely procurement of office supplies, equipment, and consumables while adhering to budget constraints.
- Assist in the procurement process by sourcing vendors, obtaining quotations, and evaluating supplier performance.
- Coordinate with finance for processing payments and resolving invoicing issues with suppliers.
Asset Management:
- Maintain an inventory of office assets and ensure proper documentation for asset tracking.
- Assess and identify assets that require disposal.
- Coordinate the disposal process in compliance with company policies and procedures.
- Maintain records of disposed assets and ensure proper documentation.
Maintenance:
- Oversee the maintenance and upkeep of office premises and facilities to ensure a safe and efficient working environment.
- Coordinate with vendors and contractors for repairs, maintenance, and upgrades.
- Conduct regular inspections of facilities and maintain a schedule for preventive maintenance.
- Supervise office cleaning, waste management, and security services.
- Ensure compliance with safety regulations and health standards.
Administrative Support:
- Support the onboarding of new employees by ensuring workspace readiness and access to necessary facilities.
- Handle day-to-day administrative tasks, including correspondence, record-keeping, and filing.
- Scanning of documents for electronic retention purposes.
- Optimize resource utilization to reduce costs and optimize productivity
- Identify areas for improvement and implement corrective actions.
- Assist in organizing internal events, meetings, and travel arrangements for corporate/staff as required.
Qualifications and Skills
Educational Requirement
- Bachelor’s degree in business administration, maintenance, or a related field.
Experience
- At least 2 years of experience in administration, procurement, or maintenance roles.
- Prior experience in vendor management and procurement processes is preferred.
Skills
- Strong organizational and multitasking abilities.
- Excellent negotiation and vendor management skills.
- Familiarity with procurement and facility management practices.
- Proficient in MS Office Suite (Word, Excel, PowerPoint).
- Good written and verbal communication skills.
- Ability to work independently and as part of a team.
- Knowledge of safety regulations is an advantage.
Salary: Salary ranging from MVR 18,000 to 20,000, commensurate with qualifications and experience.
