Job Summary

We are seeking a detail-oriented and organized Inventory Dispatch Officer to oversee the accurate and timely dispatch of goods to customers. The ideal candidate will be responsible for verifying orders, ensuring payment confirmation, preparing dispatch documents, and maintaining proper inventory records. This role requires strong coordination skills and close collaboration with the finance, sales, and customer service teams.

Key Responsibilities

1. Order Processing

• Verify and process customer orders with accurate item descriptions and quantities.
• Cross-check invoice details with payment receipts before dispatch.

2. Inventory Management

• Ensure products are properly stored, labeled, and prepared for dispatch.

3. Dispatching

• Coordinate and execute timely and accurate dispatch of inventory based on customer requirements.
• Prepare and issue Delivery Notes and Goods Receipt Notes (GRN).

4. Documentation & Record-Keeping

• Maintain organized records of dispatched items, invoices, delivery notes, and payment confirmations.
• Keep accurate logs of order status and inventory levels.

5. Communication

• Coordinate with the Finance Department to confirm payment before dispatch.
• Work with sales and customer service teams to meet customer delivery expectations.

6. Reporting

• Provide regular updates on dispatched orders and inventory levels.
• Report discrepancies or inventory-related issues to management promptly.

7. Compliance & Safety

• Follow company policies on inventory management and safety standards.
• Ensure proper handling and storage procedures to prevent damage.

Qualifications

• Prior experience in inventory, logistics, or dispatch operations (preferred).
• Strong attention to detail and organizational skills.
• Good communication and coordination abilities.
• Basic computer literacy, including MS Office.
• Ability to work in a fast-paced environment and meet deadlines.
