Scope of Work: Office Administration Manager

Position Level: Mid-Level Administrative and Project Support

Reporting To: Directors / Project Managers / Senior Architects & Planners

Employment Type: Full-time

1. Role Overview

The Office Administration Manager serves as a mid-level support role that assists Directors, Project Managers, Architects, and Planners in managing day-to-day office functions and project-related coordination. This role is integral in providing administrative, logistical, and project support, ensuring that teams have the resources and systems needed to work effectively. The position involves active assistance in documentation, bidding processes, communication, field logistics, and schedule tracking under the supervision and guidance of senior staff. The role may involve occasional travel to islands for site visits and fieldwork support.

 

2. Key Responsibilities

A. Administrative Operations & Logistics Assistance
  • Assist with daily office functions to ensure a well-organized and professional working environment for multidisciplinary teams.
  • Support the setup and maintenance of administrative systems that align with architectural, engineering, and planning project needs.
  • Monitor office supply levels, process procurement requests, and liaise with vendors and service providers.
  • Coordinate logistics for deliveries, document couriers, and office-related services essential to project operations.
  • Provide general administrative assistance to senior staff and contribute to cross-functional task coordination.

 

B. Bid & Tender Process Assistance
  • Actively assist in monitoring advertisements, procurement portals, and government gazettes for relevant bidding opportunities.
  • Assist in preparing, formatting, and compiling bids, EOIs, and RFQs in coordination with technical teams.
  • Attend bid clarification and submission meetings as needed; support documentation and follow-ups.
  • Maintain organized records and submission trackers for all bidding activities, ensuring proper filing and retrieval.

 

C. Project Coordination Support
  • Assist Project Managers and technical teams in tracking project timelines, deliverables, and internal deadlines.
  • Help organize and schedule project meetings, prepare meeting materials, and take minutes.
  • Support internal communication between architectural, engineering, and planning teams, ensuring effective information flow.

 

D. Field Logistics & Inter-Island Travel Coordination
  • Coordinate field trips and inter-island visits for project teams, including transport bookings, permits, accommodations, and site access.
  • Assist in preparing materials and documents required for site assessments, public consultations, or construction supervision.
  • Occasionally accompany project teams to islands to support logistics, documentation, and administrative needs during field missions.

 

E. Documentation & Drawing Management
  • Assist with formatting and organizing reports, project briefs, letters, and technical documentation.
  • Support the control and tracking of architectural and engineering drawings and planning maps, including proper versioning and archiving.
  • Maintain an orderly physical and digital filing system aligned with project phases (design, review, construction, etc.).

 

 

F. Schedule Tracking Assistance
  • Help update internal project schedules and monitor progress in coordination with project leads.
  • Support the preparation of drawing registers, document submission logs, and planning-related deliverable timelines.
  • Assist with progress reporting and calendar updates for multi-disciplinary project teams.

 

 

3. Deliverables
  1. Well-supported daily office operations and administrative systems.
  2. Accurate and timely bid preparation assistance and tracking of tender opportunities.
  3. Organized inter-island logistics and travel support for fieldwork and consultations.
  4. Maintained drawing registers, document control, and version tracking.
  5. Coordinated project schedules, meeting documentation, and internal updates.

 

 

4. Skills & Qualifications

Minimum 1 year of relevant experience in administration or coordination within architecture, engineering, or construction sectors.

 

  • Strong communication and coordination skills, with the ability to support technical teams effectively.
  • Proficiency in Microsoft Office and basic familiarity with project or document management software.
  • Strong organizational skills and the ability to manage multiple concurrent support tasks.
  • Willingness to travel to project sites and islands when required.
  • Knowledge of architectural and planning workflows, tender procedures, and field documentation is an advantage.
