Documentation Assistant in a shipping company is responsible for preparing, processing, and maintaining shipping and trade-related documents to ensure smooth cargo movement and compliance with regulations.
Key Responsibilities:
Prepare and verify shipping documents such as Bills of Lading, invoices, packing lists, delivery orders, and certificates.
Coordinate with operations, customers, shipping lines, freight forwarders, and customs authorities regarding documentation requirements.
Ensure all documents are accurate, complete, and submitted within required timelines.
Maintain proper records and filing (physical and electronic) of all shipment documents.
Assist in customs clearance documentation and port-related paperwork.
Track shipment status and update relevant departments or clients when required.
Handle corrections or amendments to shipping documents when necessary.
Support the documentation executive/manager in daily operational tasks.
Ensure compliance with company policies, international shipping regulations, and trade practices.
