Job Summary:
The Administrative Officer - Executive Bureau plays a pivotal role in supporting the Executive Bureau by managing daily administrative tasks and ensuring efficient office operations. The role involves organizing meetings, handling correspondence, managing sensitive information, and providing logistical support for the Executive Bureau.

Requirements:
Minimum 4 “D” passes in O’ Level or equivalent qualification
Vocational training and 2 Years of Relevant Work Experience

Job Duties:
• Organize, schedule, and manage meetings for the Executive Bureau, including all logistical arrangements.
• Manage and maintain the Executive’s schedule, providing timely updates on any changes or conflicts.
• Respond to internal and external correspondence of the Executive Bureau, ensuring prompt and professional communication.
• Prepare accurate minutes for meetings attended by the Executives and maintain a comprehensive filing system for all related documentation.
• Follow up on incoming issues and concerns addressed to the Executive Bureau, including those of a sensitive or confidential nature.
• Ensure confidentiality and security of all communications, files, and filing systems.
• Arrange travel and logistics for the Executive Bureau, liaising with relevant parties to ensure seamless coordination.
• Manage the overall operations of the Executive Bureau, ensuring proper documentation, record-keeping, and organization of files.
• Ensure the Executives are fully briefed and prepared for all engagements by providing relevant documents, summaries, and background information.
• Provide general administrative support to the Executive Bureau, including handling phone calls, scheduling, and report preparation.
