Job Summary
The Inventory Control & Process Development Lead is responsible for ensuring complete accuracy, control, and traceability of all inventory movements across Oevaali Art Shop’s operations in Maldives and Singapore. This role manages inventory functions and holds full ownership of systems, workflows, audits, reporting, and inventory-related processes.
The Lead designs and documents inventory SOPs, drives monthly stock audits, resolves discrepancies, and collaborates closely with retail, corporate, production, and warehouse teams to maintain real-time data integrity. The role also oversees Shopify inventory architecture and will lead the exploration and recommendation of long-term inventory management systems.
This position is ideal for someone who is process-driven, analytical, and highly detail-oriented, with strong technical capability and the ability to coordinate cross-functionally.
Key Responsibilities
Inventory Control & Accuracy:
- Ensure full ownership of inventory accuracy across Secure Storage, retail storage, warehouse, Candle Studio, and corporate fulfilment locations including Singapore shop inventory.
- Lead monthly stock counts, cycle counts, and reconciliation processes.
- Investigate stock discrepancies and implement corrective and preventive actions.
- Oversee Secure Storage and Retail Storage inventory integrity, including bin controls and movement logs.
- Maintain accurate variant-level and SKU-level detail within systems.
- Ensure transfers & POs are accurate and fully traceable.
Process Development & SOP Ownership:
- Design, write, and maintain all inventory-related SOPs.
- Map end-to-end workflows for restocks, transfers, faulty stock, corporate pulls, production intake, and retail movements
- Implement audit systems, controls, and compliance frameworks across departments.
- Ensure all inventory movements (INs and OUTs) follow documented processes, with accountability for deviations.
Shopify Inventory Ownership:
- Maintain Shopify inventory location structure and ensure accuracy across all locations.
- Oversee receiving of shipments, transfer processes, and location adjustments.
- Work with the Singapore team for remote tracking and accuracy issues.
- Ensure Shopify architecture supports real-time sales accuracy for POS and online channels.
Inventory System Evaluation & Implementation:
- Research inventory management tools suitable for Oevaali’s retail environment.
- Prepare detailed comparison reports for partners covering cost, integration strength, reporting, variant tracking, scalability, and suitability for our workflows.
- Lead the implementation of the chosen inventory system, once approved.
Operational Support:
- Oversee accuracy during shipment receiving, labeling, batching, and production intake.
- Coordinate with retail teams for restock workflows.
- Support corporate fulfilment processes when inventory accuracy is required.
- Provide operational support during events, promotions, and peak sales periods to protect data integrity.
Cross-Team Coordination:
- Work with retail, sales, production, and corporate teams to ensure inventory flows do not interrupt retail operations.
- Support Singapore team with remote inventory challenges and system updates.
- Coordinate forecasting and planning for transfers.
Requirements
- Minimum 3 years of experience in inventory control, supply chain, operations, or process management.
- Diploma or degree in Business, Supply Chain, Operations, Accounting, or related field preferred.
- Strong analytical and problem-solving skills.
- Experience with Shopify inventory, multi-location setups, or related systems.
- Strong understanding of audit controls and process documentation.
- Excellent organisational skills and attention to detail.
- Ability to manage multiple workflows and deadlines.
- Strong communication skills, with ability to guide cross-functional teams.
- Experience with ERP or IMS tools (Zoho, Katana, Cin7, etc.) is a strong advantage.
