Job Summary

The Facilities & Operations Assistant supports the Operations Manager in daily operational tasks, inventory management, and shipment coordination, packing and deliveries. This role ensures smooth execution of operations, assists in maintaining inventory accuracy, supports logistics processes, and contributes to the effective implementation of operational policies and procedures. The ideal candidate is highly organized, detail-oriented, proactive, and committed to operational excellence.



Key Responsibilities

Deliveries: 

  • Assist with daily corporate deliveries
  • Support coordination of retail online order deliveries
  • Handle delivery of retail online orders when required
  • Ensure timely and accurate delivery fulfillment
  • Maintain communication with retail and logistics teams
  • Assist with packaging and readiness of outgoing deliveries

Packing & Store Readiness

  • Pack products for sale
  • Prepare materials needed for daily retail operations
  • Ensure counters and store shelves are always stocked and presentation-ready
  • Maintain cleanliness and organization in packing and prep areas

Inventory:

    • Assist the Operations Manager in inventory management tasks, ensuring accurate tracking of both inventory and non-inventory items.
    • Assist with daily inventory tracking for both tracked and untracked items.
    • Support regular inventory audits and reviews to prevent discrepancies and maintain accurate stock levels.
    • Identify and report discrepancies, assisting in resolving any issues
    • Update and maintain accurate inventory records and documentation.
  • Maintenance the cleanliness of the warehouse at all times

Shipment Coordination:

  • Assist in coordinating local and international shipments, ensuring timely and efficient delivery and receipt of goods.
  • Support communication and coordination with shipping providers and logistics partners.
  • Ensure accurate documentation for incoming shipments.

Facilities & Maintenance:

  • Conduct routine weekly inspections of facilities (shop, office, warehouse) to identify necessary maintenance and cleaning tasks.
  • Ensure that maintenance issues are addressed promptly and cost-effectively.
  • Promptly address identified maintenance issues by engaging and managing third-party vendors without unnecessary delays.
  • Ensure third-party tasks are completed on schedule, with regular follow-ups.
  • Immediately communicate delays or complications to Managers with clear, proposed solutions.

Operations Assistance:

    • Support the Operations Manager in implementing and documenting operational processes and procedures.
    • Ensure compliance with operational and safety protocols in day-to-day activities.
    • Maintain updated operational checklists and records.
  • Support the Operations team on warehouse to shop and shop to warehouse transfers

 

Requirements

  • 1 year of work experience in operations, logistics, or inventory management preferred.
  • Experience or strong aptitude for facilities and maintenance coordination.
  • Strong organizational skills and attention to detail.
  • Basic knowledge of inventory systems, Excel, and documentation processes.
  • Ability to work independently with minimal supervision.
  • Good communication skills in English and Dhivehi.
  • Willingness to work flexible hours when required for stock counts, shipments, and project deadlines.

The candidate must be flexible and willing to support operations beyond standard working hours when necessary.

 

Must demonstrate reliability, accountability, and a commitment to operational excellence.
