Job Summary:

We are looking for a highly organized and motivated Administrative Officer to join our law firm.The ideal candidate will play a key role in ensuring smooth day-to-day operations, providing administrative support to attorneys, and assisting with client communications. The Administrative Officer will work closely with the firm’s leadership team to improve workflow efficiency and ensure the firm's overall productivity.

Key Responsibilities:

  • Administrative Support: Provide administrative assistance to attorneys and staff, including managing schedules,
    organizing meetings, preparing documents, and handling client communication.
  • Document Preparation & Filing: Draft, proofread, and edit legal documents, correspondence, and reports. Ensure
    proper filing, both physical and digital, of legal and administrative documents in compliance with firm policies.
  • Client Relations: Greet clients and visitors in a professional and welcoming manner. Handle phone calls, inquiries, and scheduling requests. Ensure a high level of client service.
  • Meeting & Event Coordination: Organize internal meetings, client meetings, and firm events. Handle logistics and
    meeting space, as necessary.
  • Compliance & Confidentiality: Ensure the firm complies with legal, regulatory, and ethical standards. Safeguard
    sensitive client information and uphold confidentiality protocols.
  • Other Duties: Perform other administrative duties as assigned by the Office Manager or Managing Partner.

Qualifications:

  • Education: GCE. A level or diploma or relevant certification in office administration, legal studies, or a related field is preferred.
  • Experience: 1-2 years of administrative experience is a plus.

Skills & Abilities:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving capabilities.
  • Ability to maintain professionalism and confidentiality in all aspects of work.
  • Strong interpersonal skills with the ability to interact effectively with clients, attorneys, and colleagues.

 

Full-time position with standard office hours. Occasional overtime may be required to meet deadlines or special firm
needs.
