The HR Executive plays a key role in supporting the overall HR operations of the organization. This position is responsible for recruitment, onboarding, employee relations, HR compliance, and administration, with a strong focus on visa and work permit management for expatriate employees. The role is ideal for someone familiar with HR technologies and government business portals, ensuring seamless workforce management in a wholesale and retail business environment.
Source, screen, and coordinate interviews for candidates across departments.
Prepare offer letters, contracts, and organize onboarding programs.
Maintain a talent pipeline for retail and warehouse staff.
Serve as a point of contact for employee queries, grievances, and conflict resolution.
Maintain and update employee records in both digital and physical formats.
Support internal communications and employee engagement initiatives.
Monitor employee attendance, leaves, and ensure timely input for payroll processing.
Coordinate with the payroll/accounts team to ensure accurate disbursements.
Handle the complete process for expatriate work permits, visas, and documentation renewals.
Ensure compliance with immigration laws and government regulations.
Maintain records and timelines for permit renewals and related activities.
Proficient in using the Expat Online Portal and relevant government business portals (e.g., for immigration, tax, or labor department submissions).
Submit and track applications, renewals, and compliance reports.
Ensure compliance with labor laws, company policies, and employment standards.
Support internal audits and statutory inspections.
Help in the development and implementation of HR policies and procedures.
Assist in identifying training needs and organizing internal/external training sessions.
Maintain training records and track performance appraisals.
Bachelor’s degree in Human Resources, Business Administration, or related field.
Minimum 2 years of HR experience, preferably in retail, wholesale, or logistics.
Strong understanding of HR functions, employment law, and compliance.
Experience in handling expatriate documentation and visa processing.
Proficiency in HR software such as Kepler, Humanlot, or any HRIS platforms.
Experience with Expat Online Portal and government business portals for visa, trade, or labor processes.
Strong communication and interpersonal skills.
Ability to maintain confidentiality, prioritize tasks, and work in a dynamic, multicultural environment.
Fluent in English (other language skills a plus depending on region).
