Preparing and submitting Letters, Contracts, Documents, Certificates as per requirements.
Handling emails, letters, agreements, phone calls and other forms of correspondence.
Assist with recruitment and onboarding processes, including job postings, scheduling interviews, conducting background checks, and preparing new hire paperwork.
Maintain employee records and HR databases (e.g., personal information, leaves, absences, and attendance records).
Preparing employee and maintaining staff attendances both local and foreign, manually or by system as required.
Maintaining proper Work permits and visas via Xpat system.
Assist in administering employee benefits and programs, including health insurance, retirement pension scheme, and employee wellness initiatives.
Support with performance management processes, including coordinating employee evaluations and maintaining performance review records.
Handle HR-related inquiries from employees and managers and provide timely and accurate information or escalate as needed.
Carryout Employee grievance related procedures, complaints, Disciplinary matters as per HR policy.
Assist in organizing and coordinating HR projects and initiatives (e.g., employee engagement surveys, training programs).
Assist in preparing HR reports and presentations on HR metrics, such as turnover rates, recruitment analytics, and training completion rates.
Ensure compliance with labor regulations and HR policies and procedures.
Assist in developing and implementing HR strategies and initiatives aligned with the overall business strategy.
Assist in organizing HR events, meetings, and training sessions.
Ensuring accurate and proper record-keeping of employee information in electronic and digital format including but not limited to physical filing.
Ensure adherence to all health and safety standards and report issues
Perform other administrative tasks as assigned.
Fulfilling any other responsibility and duties assigned by the management.
Required Skills and Qualifications:
O’ level.
Proven experience of minimum 1 year as an HR Assistant or in a similar administrative role.
Strong organizational and time management skills with the ability to prioritize tasks.
Excellent attention to detail and accuracy.
Strong verbal and written communication skills.
Proficient in MS Office (especially Excel, Word, and Outlook)
Ability to handle confidential information with discretion and professionalism.
Proactive and self-motivated team player with a positive attitude.
Ability to work under pressure and meet tight deadlines.
