Job Description

Key Responsibilities:

  • Preparing and submitting Letters, Contracts, Documents, Certificates as per requirements.
  • Handling emails, letters, agreements, phone calls and other forms of correspondence.
  • Assist with recruitment and onboarding processes, including job postings, scheduling interviews, conducting background checks, and preparing new hire paperwork.
  • Maintain employee records and HR databases (e.g., personal information, leaves, absences, and attendance records).
  • Preparing employee and maintaining staff attendances both local and foreign, manually or by system as required.
  • Maintaining proper Work permits and visas via Xpat system.
  • Assist in administering employee benefits and programs, including health insurance, retirement pension scheme, and employee wellness initiatives.
  • Support with performance management processes, including coordinating employee evaluations and maintaining performance review records.
  • Handle HR-related inquiries from employees and managers and provide timely and accurate information or escalate as needed.
  • Carryout Employee grievance related procedures, complaints, Disciplinary matters as per HR policy.
  • Assist in organizing and coordinating HR projects and initiatives (e.g., employee engagement surveys, training programs).
  • Assist in preparing HR reports and presentations on HR metrics, such as turnover rates, recruitment analytics, and training completion rates.
  • Ensure compliance with labor regulations and HR policies and procedures.
  • Assist in developing and implementing HR strategies and initiatives aligned with the overall business strategy.
  • Assist in organizing HR events, meetings, and training sessions.
  • Ensuring accurate and proper record-keeping of employee information in electronic and digital format including but not limited to physical filing.
  • Ensure adherence to all health and safety standards and report issues
  • Perform other administrative tasks as assigned.
  • Fulfilling any other responsibility and duties assigned by the management.

 

Required Skills and Qualifications:

  • O’ level.
  • Proven experience of minimum 1 year as an HR Assistant or in a similar administrative role.
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Excellent attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Proficient in MS Office (especially Excel, Word, and Outlook)
  • Ability to handle confidential information with discretion and professionalism.
  • Proactive and self-motivated team player with a positive attitude.
  • Ability to work under pressure and meet tight deadlines.
