Job Title: Supervisor cum Office Assistant
Reporting To: Operations Manager
Job Purpose: To supervise multidisciplinary teams, ensure smooth project execution, and provide administrative support while maintaining compliance with company standards.
Job Profile and Key Responsibilities:
- Assist the Operations Manager in all aspects of project implementation as needed.
- Supervise multi-disciplinary teams of staff for Soft & Hard Services.
- Manage time effectively to ensure tasks are handled accurately and on time, maintaining high standards for the client.
- Maintain a flexible approach to work and use initiative.
- Overcome challenging situations.
- Set directly employed personnel and subcontractors to work and ensure their day-to-day supervision.
- Ensure work is adequately resourced and delivered on time and within budget.
- Verify work is properly planned and safety documents are in place before proceeding.
- Liaise with the CSE & Operations Manager and respond to technical and non-technical queries promptly to meet Service Level Agreements.
- Conduct day-to-day people management, providing frequent feedback to technicians and optimizing resource allocation.
- Ensure team members complete necessary training within the agreed timeframe.
- Maintain compliance with FixPro Protocols and all relevant business processes, procedures, and work instructions.
- Support the CSE in developing briefs and cost estimates for services.
- Perform inspections for soft services and generate necessary reports.
- Develop and maintain customer relationships, resolving issues or escalating when needed.
- Adhere to all safety policies, procedures, and regulations, ensuring a safe work environment.
- Compile bonus and deduction reports for the finance department as part of payroll processing.
- Prepare work completion reports and obtain client signatures for documentation.
- Provide messenger services, including delivering letters and documents as required.
- Transport files and documents between locations when necessary.
- Collaborate with other departments and assist managers as required.
- Ensure efficient task execution to maintain smooth business operations.
- Strictly follow company systems, policies, and procedures as prescribed by FXPM.
Qualifications and Requirements:
- Minimum GCE O-Level certification.
- Age between 18 and 30 years.
- Excellent listening and verbal communication skills in Dhivehi and English.
- Willingness to work extended hours, including flexibility for irregular schedules, while maintaining consistent punctuality.
- Strong problem-solving capabilities and analytical skills.
- Proven ability to multitask, prioritize tasks, and manage time efficiently.
- Previous experience in a similar role will be considered an advantage.
- Proactive attitude, leadership potential, and capability to work independently and collaboratively.
- Strong supervisory and leadership abilities.
- Excellent time management and problem-solving skills.
- Ability to work flexibly, independently, and under pressure.
- Proficient in administrative tasks, reporting, and documentation.
- Knowledge of safety protocols and compliance standards.
- Good communication and interpersonal skills.
