About the Role
This is a high-trust, high-output role for someone who operates at the intersection of business building,
technology, and social impact. As Executive Assistant to the Executive Director, you will support three active
portfolios — affordable hospitality development, global edtech scaling, and NGO management — all being built
with ambition and speed.
You will not be onboarded through lengthy orientation. You are expected to be self-directed, AI-native, and
commercially sharp from day one. The ED moves fast and needs someone who can keep up, think ahead, and
execute with minimal hand-holding. If you rely on conventional ways of working, this role is not for you.
Portfolios You Will Support
Islanders Collection — Affordable Hospitality
A hospitality brand being built from the ground up, focused on accessible, quality accommodation across Rooms
and Villas in the Maldives. The work involves coordinating with international partners, supporting investor
relations, and helping establish distribution platforms and commercial frameworks from scratch.
Hologo World Technologies — EdTech
A global edtech venture at the scaling stage, with existing international partners and an active sales pipeline.
The work involves managing communications, tracking pipeline progress, coordinating with partners, and
supporting the ED in moving deals and relationships forward efficiently.
Foundation for Better Future — NGO
A purpose-driven foundation requiring visibility, operational structure, and consistent administrative
management. The work involves PR coordination, stakeholder communications, event support, and ensuring
the foundation is organised, compliant, and publicly present.
Islanders Group Head Office — Automation & AI Systems
The ED is leading the integration of AI tools and management systems across Islanders Group's head office
operations. The work involves identifying and implementing automation for administrative and operational tasks,
coordinating with the technology team to deploy and maintain systems, and ensuring workflows remain efficient,
current, and consistently adopted across the group.
Key Responsibilities
Communications & Correspondence
• Manage the ED's inbox across email and messaging platforms — triage, respond independently where
appropriate, and escalate with full context where needed
• Draft outgoing correspondence, proposals, follow-ups, and briefing documents on behalf of the ED to a high
standard
• Coordinate with the Group CFO, Board of Directors, and Directors Bureau (including EAs of other directors)
within Islanders Group
Calendar & Meeting Management
• Own the ED's schedule completely — no clashes, built-in buffers, logical flow
• Prepare a concise brief before every meeting: who, context, objectives, and open items
• Issue follow-up notes and clear action items within 24 hours of every meeting
Project & Workstream Tracking
• Maintain a live tracker across all active workstreams in all three portfolios
• Produce a weekly status summary: what has moved, what is stalled, what needs the ED's decision
• Escalate blockers proactively — do not wait to be asked
Document Preparation & Research
• Produce first drafts of decks, memos, one-pagers, partner briefs, and investor materials
• Conduct research on markets, partners, regulatory requirements, and competitors as directed
• Maintain clean, organised filing across all entities and workstreams
Compliance & Deadline Management
• Track renewals, filings, and expiries across entities — licenses, visas, contracts, regulatory submissions
• Coordinate with relevant teams to ensure nothing lapses
• Maintain NGO compliance documentation, donor records, and reporting timelines
Financial Administration Support
• Coordinate with the Group CFO on expense tracking, invoice routing, and payment follow-ups
• Manage the ED's expense claims, receipts, and reimbursements
• Flag financial administrative deadlines before they become problems
Travel & Logistics
• Manage all travel end-to-end: flights, accommodation, transport, and meeting itineraries
• Handle the Maldives–UAE rotation and international travel as required
• Arrange logistics for incoming partners, investors, and guests
NGO & Foundation Support
• Coordinate PR activities, media communications, and public-facing content for Foundation for Better Future
• Manage event logistics, stakeholder outreach, and donor communications
• Ensure the foundation is administratively organised and externally visible
Head Office Automation & AI Systems
• Support the ED in identifying administrative and operational tasks across the group that are suitable for AI
automation
• Coordinate with the Hologo technology team to implement and roll out management systems and
automation tools at head office level
• Maintain and update deployed systems on an ongoing basis, ensuring they remain efficient, adopted, and
aligned with how the group operates
• Act as the internal point of contact for AI tools and workflow systems — troubleshooting, training staff, and
driving consistent usage
• Research and evaluate new tools and platforms that could improve group-wide operational efficiency
Required Qualifications & Experience
• Minimum 4 years of experience supporting senior leadership in a multi-portfolio or multi-entity environment
• Demonstrably AI-first in how you work — you use AI tools daily to research, draft, organise, and execute,
not as a novelty but as a core working method
• Exceptional written English — you draft professional correspondence independently, without multiple
revision cycles
• Experience across at least two of the three domains: hospitality/real estate, technology/startups, or
NGO/foundation management
• Strong proficiency across productivity, communication, and project management platforms
• Comfortable working in a lean team where you are expected to figure things out
