RESPONSIBILITIES:
VENDOR MANAGEMENT:
- Negotiate pricing, terms, and contracts with suppliers/vendors.
- Establish and maintain strong relationships with key suppliers to ensure timely and cost-effective procurement.
BUDGETING AND PLANNING:
- Collaborate with the accounts department to estimate and establish budgets for purchases.
- Contribute to the development of procurement plans aligned with project and organizational goals.
DECISION-MAKING:
- Make informed and professional decisions in a fast-paced procurement environment.
- Evaluate and review potential vendors and suppliers to ensure optimal selections.
RECORD KEEPING:
- Maintain comprehensive and accurate purchase records and other essential procurement data.
- Develop and update a list of approved suppliers for efficient procurement processes.
QUALITY ASSURANCE:
- Ensure that procured products and supplies meet specified quality standards.
- Collaborate with relevant stakeholders to address and resolve quality issues.
TEAM COLLABORATION:
- Work closely with team members to fulfill procurement and inventory duties as needed.
- Foster effective communication and collaboration within the procurement team and across departments.
LOGISTICS MANAGEMENT:
- Maintain and update records of vessel logistics and third-party logistics.
- Ensure smooth coordination of transportation and delivery processes.
INVENTORY CONTROL:
- Conduct physical counts of inventory at various sites to ensure accuracy.
- Document and manage adjustments, shortages, and discrepancies in inventory records.
DOCUMENTATION AND COMPLIANCE:
- Keep all procurement documentation and records accurate and up-to-date.
- Ensure compliance with relevant regulations and company policies.
DAMAGE CONTROL:
- Maintain records of all damaged items and coordinate the return or repair process.
- Implement measures to minimize damage and losses during procurement and storage.
REQUIREMENTS:
EDUCATIONAL BACKGROUND:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field or minimum 2-year experience in similar work.
NEGOTIATION SKILLS:
- Strong ability to negotiate effectively with suppliers and vendors.
ORGANIZATIONAL SKILLS:
- Excellent organizational and multitasking abilities to manage procurement processes efficiently.
COMMUNICATION SKILLS:
- Clear and concise communication skills, both written and verbal.
ATTENTION TO DETAIL:
- Meticulous attention to detail in maintaining accurate records and documentation.
TEAM PLAYER:
- Ability to work collaboratively with team members and other departments.
FLEXIBILITY:
- Willingness to travel to project sites within the specified region (if required).
COMPUTER PROFICIENCY:
- Good knowledge of computer applications, particularly MS Office and procurement-related software.
