RESPONSIBILITIES:
CALENDAR MANAGEMENT:
- Efficiently manage and organize the schedules of senior management, including appointments, meetings, and travel arrangements.
COMMUNICATION HANDLING:
- Act as the primary point of contact for internal and external stakeholders, handling inquiries, emails, and calls on behalf of management.
DOCUMENTATION AND CORRESPONDENCE:
- Draft, edit, and proofread correspondence, reports, and presentations for management.
- Maintain and organize important documents, ensuring easy access and retrieval.
MEETING COORDINATION:
- Coordinate and schedule meetings, prepare agendas, and take accurate minutes.
- Ensure that all necessary materials are available for meetings in a timely manner.
TRAVEL MANAGEMENT:
- Arrange travel itineraries, accommodation, and logistics for business trips.
- Manage travel expenses and prepare expense reports.
CONFIDENTIALITY AND DISCRETION:
- Handle sensitive information with the utmost confidentiality and discretion.
TASK PRIORITIZATION:
- Prioritize and manage tasks effectively to meet deadlines and organizational goals.
PROBLEM-SOLVING:
- Proactively address issues and challenges, finding solutions to support management's objectives.
TEAM COLLABORATION:
- Work closely with other administrative staff to ensure seamless office operations.
- Collaborate with different departments to facilitate effective communication.
EVENT PLANNING:
- Assist in planning and coordinating corporate events, conferences, and executive retreats.
AD HOC SUPPORT:
- Provide additional support as needed, including personal tasks and ad hoc projects.
REQUIREMENTS:
EDUCATION:
- Bachelor's degree in Business Administration, Communications, or a related field or minimum 2-year experience in similar work.
EXPERIENCE:
- Proven experience as a personal assistant, executive assistant, or in a similar role.
ORGANIZATIONAL SKILLS:
- Strong organizational and multitasking abilities to handle various responsibilities simultaneously.
COMMUNICATION SKILLS:
- Excellent written and verbal communication skills.
TECH PROFICIENCY:
- Proficient in using office software (Microsoft Office suite, email, calendar tools).
PROBLEM-SOLVING SKILLS:
- Ability to anticipate challenges and proactively address them.

- Ability to handle confidential information with discretion and confidentiality.
