Job Description

EXECUTIVE SECRETARY

We are seeking an experienced Executive Secretary who will play a crucial role in providing high-level administrative support to the CEO and managing the daily operations of the administrative department. This role requires a proactive individual with exceptional multitasking abilities who can handle sensitive information with discretion and professionalism. KEY RESPONSIBILITIES:

  • Executive Support: Manage the CEO’s calendar, schedule appointments, and organize travel arrangements. Prepare and draft communications, reports, and presentations for the CEO. Act as a liaison between the CEO and internal/external stakeholders.

  • Administrative Management: Oversee the general administrative functions of the group, ensuring efficiency and consistency across all departments. Supervise and provide guidance to administrative staff, ensuring timely and high-quality completion of tasks.

  • Meeting Coordination: Organize and coordinate internal and external meetings, including preparing agendas, materials, and minutes. Ensure that all meetings run smoothly and efficiently.

  • Communication: Handle sensitive and confidential information with the highest level of discretion. Draft and review correspondence, reports, and presentations on behalf of the CEO.

  • Office Management: Manage office resources, supplies, and vendor relationships to ensure smooth day-to-day operations. Assist in coordinating company events, meetings, and group-wide communications.

    QUALIFICATIONS: 

  • Proven experience as an executive assistant, administrative manager, or in a similar role, preferably in a fast-paced environment.

  • Exceptional organizational and multitasking skills, with a keen eye for detail.

  • Strong written and verbal communication abilities.

  • Proficiency in office software and tools (e.g., Microsoft Office Suite).

  • Ability to handle confidential and sensitive information with professionalism.

  • Bachelor’s degree in Business Administration or a related field is preferred.
