Job Description

We are a fast-growing events, venue, and F&B company seeking a highly organized and proactive Executive Assistant to support the Director in managing daily operations across multiple business units.

This role is critical in ensuring that tasks are tracked, communication is smooth, and the Director’s time is used efficiently. The ideal candidate is detail-oriented, fast, and able to handle multiple responsibilities with minimal supervision.


Key Responsibilities

Director Support (Priority)

  • Manage Director’s calendar, meetings, and daily schedule
  • Track tasks, deadlines, and follow-ups across departments
  • Ensure priorities are organized and executed on time
  • Act as a point of coordination between Director and teams

Administrative & Documentation Support

  • Prepare documents, reports, letters, and proposals
  • Manage emails, communication, and records
  • Organize files and maintain structured documentation

Coordination & Follow-Ups

  • Follow up with coordinators, managers, and staff on tasks
  • Coordinate with suppliers, clients, and internal teams
  • Ensure smooth communication across departments

Basic Finance Coordination

  • Track payments to be made and received
  • Follow up on invoices and pending payments
  • Coordinate with Finance Executive on financial matters

Skills Needed

Core Skills (Must-Have)

  • Strong organizational and multitasking ability
  • Excellent communication skills (written & verbal)
  • High attention to detail
  • Proactive mindset (takes initiative, does not wait)
  • Ability to work under pressure

Practical Skills

  • Proficiency in Microsoft Office / Google Workspace
  • Ability to manage schedules and task tracking systems
  • Basic understanding of business operations
  • Good documentation and formatting skills

Advanced / Bonus Skills

  • Experience supporting senior management
  • Familiarity with event/hospitality environment
  • Ability to handle confidential information professionally
  • Basic finance or reporting knowledge

Ideal Candidate Profile

  • 1–3+ years experience in admin / executive assistant role
  • Highly reliable and responsible
  • Fast learner with strong follow-up ability
  • Able to manage multiple tasks without supervision

What Success Looks Like

Within 2–4 weeks, this person should:

  • Keep all tasks and deadlines organized
  • Reduce Director’s involvement in daily follow-ups
  • Improve communication between departments
  • Ensure nothing gets missed or delayed
