We are looking for: Administrative Officer
The Administrative Officer will play a pivotal role in ensuring the seamless functioning of our office, providing support for various administrative tasks, and assisting in daily operations. The ideal candidate will be a proactive individual capable of efficiently and effectively managing multiple responsibilities.
Job Description:
(1) Administration:
- Provide comprehensive administrative support to various departments within the organization.
- Schedule meetings, appointments, and coordinate travel arrangements.
- Organize and maintain documents, ensuring easy retrieval when needed.
- Serve as the primary point of contact for external partners, clients, and vendors, handling phone calls and emails promptly and professionally.
- Collaborate with various departments as necessary.
- Assist in human resources management, encompassing personnel recruitment, training, and related tasks.
- Handle financial transactions related to administrative, logistic, and visa payments.
- Assist with basic financial tasks, including expense tracking and invoicing.
- Prepare financial reports detailing office expenditures.
(2) Labor Management:
- Ensure timely and accurate processing of foreign workers' visa matters, adhering to local regulations and company policies.
- Maintain precise and up-to-date visa management records.
- Execute timely monthly payments related to visa management and maintain data records.
(3) Logistics:
- Procure and manage living and office supplies.
- Efficiently oversee vehicles and driver management, including annual fees, insurance, road-worthiness, repairs, fuel, and inspections.
- Contribute to planning and organizing company events, meetings, and conferences, including coordination of logistics, catering, and materials for these events.
Requirements & Qualifications:
- Bachelor’s degree.
- Fluent in English (speaking and writing), Fluent in Chinese (speaking) will be an advantage.
- Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook, Photo-shop).
- 2 years of experience in administrative-related work.
- Excellent organizational and time-management skills.
- Attention to detail and a high level of accuracy.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and the ability to work independently.
- Willingness to work in the Maldives for an extended period.
- Moderate knowledge and understanding of IT and graphic work.
Workplace & Working Hours:
Phase II, Hulhumale’.
Sunday to Thursday: 08:00 - 12:00
14:00 - 18:00
Friday: Overtime if needed
