Job Description

Job Summary:

The Admin Officer is responsible for managing administrative tasks, handling email correspondence, and coordinating with the lounge operations team to ensure smooth communication between departments. The role requires efficient tracking of flight schedules, informing the kitchen department of any delays or changes, and ensuring seamless service delivery.

Key Responsibilities:

Administrative Duties:

  • Manage and respond to emails related to catering orders, flight schedules, and customer inquiries.

  • Maintain and organize digital and physical records of catering schedules, invoices, and other important documents.

  • Prepare and submit daily reports related to kitchen and lounge operations.

Coordination & Communication:

  • Serve as the primary liaison between the lounge operations team and the kitchen department.

  • Monitor flight schedules and promptly inform the kitchen team of any delays, changes, or urgent catering requests.

  • Ensure timely communication of any modifications in meal requirements or special dietary requests from customers.

  • Coordinate with airline representatives for catering orders, adjustments, and feedback.

Operational Support:

  • Assist in scheduling and planning catering logistics based on flight schedules.

  • Follow up with the kitchen team to confirm meal preparation and timely delivery.

  • Support in troubleshooting any administrative or operational issues that may arise during service.

Compliance & Documentation:

  • Ensure compliance with airport and airline catering policies and procedures.

  • Maintain accurate records of all communication, orders, and delivery schedules.

  • Prepare reports on service efficiency, including delays and any corrective actions taken.

Qualifications & Requirements:

  • Bachelor's degree or diploma in Business Administration, Hospitality Management, or a related field.

  • Minimum of 2+ years of experience in an administrative or coordination role, preferably in F&B, catering, or hospitality.

  • Strong communication and organizational skills.

  • Proficiency in Microsoft Office (Excel, Word, Outlook) and other administrative software.

  • Ability to multitask and work efficiently in a fast-paced environment.

  • Attention to detail and problem-solving skills.

  • Knowledge of airport catering operations is an added advantage.
