Job Description

We are looking for a dedicated and organized Human Resource Assistant to support the Human Resources Department in daily administrative and HR-related tasks. The candidate will assist in maintaining employee records, recruitment processes, staff attendance, payroll support, work permit documentation, and employee coordination.

The ideal candidate should have good communication skills, attention to detail, confidentiality, and the ability to work efficiently in a fast-paced environment.


Key Responsibilities

Human Resource Duties

  • Maintain and update employee files and HR records.
  • Assist in recruitment activities including:
    • Posting job advertisements
    • Screening CVs
    • Scheduling interviews
    • Communicating with candidates
  • Prepare HR documents such as:
    • Employment Contracts
    • Offer Letters
    • Appointment Letters
    • Experience Letters
    • Warning Letters
    • Salary Certificates
  • Assist with onboarding and orientation for new employees.
  • Monitor attendance, leave records, and staff documentation.
  • Support payroll preparation and salary transfer documentation.
  • Handle employee inquiries regarding HR matters and company policies.
  • Maintain confidentiality of employee and company information.

Administrative Duties

  • Organize and maintain filing systems and office records.
  • Prepare reports, spreadsheets, and administrative documents.
  • Assist with office coordination and administrative support.
  • Monitor office supplies and HR-related materials.
  • Coordinate staff accommodation and transportation requests when required.

XPAT & Work Permit Responsibilities

  • Must know how to handle the XPAT System.
  • Process and monitor:
    • Work Permit Applications
    • Visa Applications
    • Permit Renewals
    • Medical Submission Documents
    • Employment Approval Procedures
  • Maintain records of passports, visas, permits, and expiry dates.
  • Coordinate with Immigration and relevant authorities when necessary.
  • Follow up on permit approvals, corrections, and renewals through the XPAT system.

Requirements

Educational Qualification

  • Diploma or Bachelor’s Degree in Human Resources, Business Administration, or related field.

Experience

  • Previous experience in HR or administrative work is preferred.
  • Experience handling XPAT System and expatriate documentation is an advantage.

Skills & Competencies

  • Good communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office applications.
  • Ability to work independently and responsibly.
  • Attention to detail and confidentiality.
  • Knowledge of Maldives Immigration and XPAT procedures is preferred.
