Position Summary:
We are seeking a proactive, detail-oriented, and highly responsive Admin & Communication Officer to manage all administrative and communication tasks during the night shift at our Moonima Catering Kitchen. The role involves handling customer emails and orders in real-time, ensuring smooth coordination with the kitchen team, and maintaining accurate records for operational efficiency.
Key Responsibilities:
- Customer Communication & Order Handling
- Attend to all incoming emails and messages promptly during duty hours.
- Accurately record and process customer orders, ensuring timely communication with the kitchen team.
- Clarify and confirm order details with customers when necessary.
- Maintain professionalism and responsiveness in all customer interactions.
- Administrative Support
- Maintain up-to-date order logs, reports, and other required documentation.
- Ensure all order details are accurately entered into the system for tracking.
- Prepare daily shift reports for the Catering Operations In-Charge.
- Operational Coordination
- Act as the primary communication bridge between customers and the kitchen team during the night shift.
- Coordinate with relevant departments to ensure all customer requirements are met.
- Assist in urgent operational matters requiring immediate attention.
- Quality & Service Assurance
- Monitor order handling processes to ensure accuracy and timeliness.
- Escalate any delays, issues, or special customer requests to the appropriate supervisor.
- General Duties
- Maintain a clean and organized work desk and filing system.
- Support management with any additional tasks as required.
Qualifications & Skills:
- Proven experience in administration, customer service, or communication roles.
- Strong written and verbal communication skills in English (additional languages will be an advantage).
- Proficiency in email handling, Microsoft Office, and order management systems.
- Excellent attention to detail and ability to multitask under pressure.
- Highly proactive, organized, and responsive, especially during night hours.

Work Schedule & Site:
- Night Shift: 08:00 PM to 05:00 AM
- 6 days a week (1 day off)
