Job Description

The Front Desk and Administrative Assistant plays a pivotal role in managing reception duties, ensuring seamless daily operations of the gym and café areas, maintaining financial accuracy, and delivering exceptional customer service. This position upholds operational standards, ensures professionalism in communication, and supports organizational efficiency.

1. Reception and Customer Service

  • Serve as the first point of contact, ensuring the front desk is always staffed during shifts; coordinate coverage when necessary.
  • Professionally address inquiries regarding gym services, including personal training requests, and log all queries for senior management approval.
  • Confirm trainer assignments, especially for specific requests, with management, ensuring members are informed of a one-day confirmation period to maintain service quality.
  • Interact with members courteously, ensuring all communication is professional, respectful, and formal.
  • Maintain professionalism by avoiding overly casual or familiar behavior.

2. Facility Oversight

  • Conduct pre-shift inspections of the café and gym areas, identifying and addressing any issues.
  • Perform hourly walkthroughs of gym floors to proactively manage and resolve concerns.
  • Ensure café chairs and tables are organized during operations and before closing.
  • Collaborate with cleaning staff to streamline the closing process and uphold cleanliness.

3. Financial and Accounting Responsibilities

  • Oversee daily cash handovers, verifying amounts and resolving discrepancies.
  • Accurately record payments in the accounting software and assist with monthly GST returns using QuickBooks.
  • Maintain the Petty Cash File, ensuring all expenditures are properly documented with vouchers and assigned codes from the Petty Cash Master Sheet.
  • Ensure invoices are issued for all transactions and follow up with payees for any missing documents.
  • Conduct daily stock counts for all inventory, including capsules and water, reconciling discrepancies and updating sales records.
  • Safely transfer cash sales to the designated personnel and ensure alignment between software records and physical logs.

4. Hygiene and Café Management

  • Monitor and maintain cleanliness of café items, washing and drying dishes promptly after use.
  • Ensure no dirty items are left in the sink, maintaining a hygienic environment.
  • Track stock levels and promptly inform management of low inventory to prevent shortages.

5. Professional Conduct

  • Minimize personal activities, such as video calls and extended breaks, during work hours to maintain focus.
  • Uphold a polished, professional demeanor, maintaining respectful interactions with colleagues and members.
  • Avoid behavior that could be perceived as casual, flirtatious, or intrusive, ensuring all interactions reflect a high standard of professionalism.
